 コミュニティイベントやミートアップ、各種セミナーなど、自分たちで会場を借り、運営も自分たちでおこなうようなイベント。そんな時は色々なイベントに関わる物品などの手配も、自分たちでおこなわなくてはいけません。

そんな時に以外と忘れがちなのが、当日のスタッフ様の飲食関係です。

短い時間のイベントであれば特に気にする必要がないかもしれませんが、長い時間に渡り開催されるイベントの場合、準備時間も含めて1日会場にいるようなこともあります。そんな時に、イベントのサポートをするスタッフの人たちの食事はどうしていますか？

### イベントスタッフのお弁当手配

スタッフの食事については、休憩時間を確保して、会場外に食べに行ってもらうようにしているケースもあるでしょう。一方で、イベント本番前なので、できるだけ会場内でお弁当などを食べてもらう方が、運営側も何かと安心だったりもします。

私たちもよくEventRegistをご利用いただいているイベントの運営をお手伝いすることがありますが、こうしたスタッフ用のお弁当をまとめて手配する際に、いくつかのNGな行動を目にすることがあります。

#### **NGパターン1: 会場の許可なく食事をお弁当を手配する**

会場によっては、その会場内の飲食物については指定の会社へオーダーする必要がある場合があります。これは来場者の方々用だけではなく、スタッフ用のお弁当などをまとめてオーダーする場合も同じです。会場で指定の会社がある場合は、そこからお弁当を選び、お願いするようにしましょう。

 

#### **NGパターン2: 温かいお弁当を大量に持ち込む**

自由にお弁当を手配・持ち込んで良い会場だった場合も、オーダーするお弁当の内容には注意が必要です。一般的には仕出し弁当のようなものを手配するケースが多いと思いますが、温かいお弁当を手配するのは避けるようにしましょう。スタッフは、決まった時間に食事を食べることができない場合があります。せっかく温かいものを手配しても冷めてしまうことがありますし、それより何より食べ物が傷んでしまう可能性があります。もちろん賞味期限にも注意し、賞味期限を過ぎてしまったものはきちんと管理するようにしましょう。

 

#### **NGパターン3: 搬入について事前に確認しない**

スタッフの人数が多いと、お弁当も結構な量になります。その場合、台車で運ばれてくるようなケースがあります。例えば会場がオフィスビルの場合、そのオフィスビルのエレベーターは台車を通しても大丈夫なものでしょうか？建物によっては、台車は搬入口を通る必要があったりします。そうすると、当然、お弁当のデリバリーにあたり、建物のどこに運んでもらうかを、事前にお弁当手配の会社に伝える必要があります。

 

会場内で食べる飲食物については、まず会場の担当者の方に持ち込みが可能かどうかを確認し、会場のポリシーに従うようにしましょう。そして、持ち込める場合はその搬入方法も事前にイメージしておきます。また、お弁当は長い時間手をつけられない可能性を考え、痛みにくいものを選ぶようにしましょう！

そしてお弁当手配には、いくつかの気をつけるポイント・喜ばれるポイントがありますので、それも合わせてご紹介します。

 

#### **1. 飲み物のオーダーも忘れずに！**

以外と忘れがちなのが、お弁当と一緒にいただく飲み物。廃棄しやすいよう、缶ではなくパックのものがおすすめ。

 

#### **2. お弁当はいくつかの種類のものを**

スタッフのみなさんの空腹具合や好みもあるので、いくつかの種類を用意し選べるようにしておくと喜ばれます。

 

#### **3. 甘いものもあると嬉しい**

長時間サポートするスタッフの人たちにとって、甘いものが少しあると、それだけで嬉しいもの。スタッフ控室などに自由に食べることができるお菓子があると喜ばれます。

 

#### **4. 賞味期限切れのものはきちんと処分する**

できるだけ余ることのないようにオーダーするのが基本ですが、それでも余ってしまうことがあると思います。一般的によくあるスタッフ用のお弁当は、昼食の場合その日の夕方や夜には賞味期限が切れてしまいます。非常にもったいないことではありますが、賞味期限が切れてしまったものは、管理上、運営担当者側できちんと処分をするようにしましょう。（もちろん、処分をしなくて済むように必要な数をオーダーすることが重要です。）

 

#### **5. 余裕をもったスケジュールでオーダー**

一定量以上のお弁当をまとめてオーダーする場合、ある程度前もってオーダーする必要があります。事前に何日前までにオーダーすれば良いかを確認しておくと安心です。

 

スタッフが気持ちよく動くことができるよう、元気が出てお腹を満たせるお弁当をチョイスしましょう！
