On November 6th, 2015, MasterControl - a company that provides Quality Management Systems (QMS) to business - held “Masters Forum 2015”, an event for businesses currently using their products and those currently considering their use.
We had a chat with MasterControl Inc. representative director Chad Fox.
- What is Masters Forum?
Masters Forum is an event in which we invite current MasterControl users and those considering purchasing our services to hear from global experts, to learn about the latest developments with MasterControl products and to see examples of our product in use. It’s an occasion to tell them about MasterControl solutions that incorporate the latest industry trends, regulations and standards that we organize once per year.
We anticipated a need to scale up the scope of our event so we decided to bring in EventRegist
- Why did you think to use EventRegist?
We’re planning to widen the scope of Masters Forum in future and we were looking for a web service that allowed us to accept advance registrations for break out sessions and we came across EventRegist with its timetable functionality.
After that, we participated in a How to Utilize EventRegist for Beginners seminar and we were were introduced to how to use the system and to examples of events that were already utilizing EventRegist. From this, we were able to get a better idea of how our company’s event could make use of it. After the seminar we were able to have a private consultation at which we were able to get down to the nuts and bolts and then we decided to go ahead with it.
Also, we signed up for on the day operational support - providing us with reception staff and an event director. We limited resources from overall event planning to on the day operations so I was grateful for not just the system support but the operational support as well.
The weight of responsibility was lightened and we were able to concentrate on the event sessions themselves and communicating with our clients.
- So how was your actual experience of bringing in EventRegist?
The whole process from advance preparations to operations on the day was a lot easier because our use of time was apportioned and optimized. For example, the PDF ticket with QR code generated by EventRegist can be folded into quarters and used as a show pass, so it saved the trouble of having to print out name tags. Also, for weekly internal reports on the registration status for the event, we w could easily check the registration data from the EventRegist admin dashboard. On the day of the event, instead of having to check off names from an attendee list, we were able to complete the check-in quickly using the dedicated QR Code scanning app and it was great to get a running total of the number of attendees checked-in.
We’re a business that provides IT Solutions, so it was great to use a cutting edge IT solution at the reception to our event and guide our customers smoothly into the event and give them the impression that they have participated in a “professional business event”. That was one of the results of bringing in EventRegist.
- How was the operational support?
EventRegist sourced both the reception staff and the event director, so we could entrust them with everything surrounding reception and tasks related to sessions. As a result, as ther organizer we were able to content on the event itself and on communicating with our customers.
Trying to create an event at which both existing and prospective clients are satisfied
- Tell us about your future prospects
At our company, we don’t just introduce the latest products, we invite experts in their field to attend as speakers and we provide our customers with the latest industry information. In recent years, we’re grateful that the number of our clients has increased, so we’re thinking of increasing the amount of event content targeted at existing clients little by little. At the same time, we’d really like customers who are considering our products to participate too, so the issue is how to make an event at which both are satisfied. One solution is to organize an event where there are break out sessions, so we’re thinking of employing EventRegist’s Time Table feature.
Also, in order to make the event a place where attendees can network with each other, we’re thinking about how to incorporate enjoyable content and activities in a casual get together after the sessions.
Until now our heads have been filled with event prep and operational matters, but now we have time to think about expanding content. I feel this is a result of bringing in EventRegist.
